At InStore.ai, your ability to view data and listen to recordings depends on your assigned roles and where you've got permissions. Here’s how it works:
📊 Data Access: What You Can See
Data access determines which stores' data you can view; think of this as text-based data like summaries and charts. If you’ve got access to ALL STORES, you’ll see events from every location popping up in your charts and list of recordings. Pretty straightforward, right?
The options Admins select from to set Data Access is;
All
Only Stores In your area
Only Stores by District (multi select list of all districts)
Only Specific Stores (multi select list of all stores)
🔉 Audio Access: What You Can Hear
Now, here’s where it gets a bit specific. Even if you can see data from all stores, you might not be able to listen to the audio from every one of them. Your ability to listen is controlled by what we call ‘Audio Access’ settings. These settings are super granular, meaning they let you control exactly which stores' audio you can listen to, download, share or delete.
For instance, you might be able to view incidents from all across the country, but your Audio Access might be set to just your district. So, if you try listening to a recording from outside your district, it might not play for you.

🔍 How Do Permissions Affect Your Search Experience?
When you jump onto the Search page, your permissions tailor what you see and hear:
Data Access: If your role has Data Access to ALL STORES, searching for an event will pull up info from across the network. You’ll get a full view – charts, lists, all the good stuff.
Audio Access: This decides which of those recordings you can actually listen to. Maybe you can only hear audio from your own region, even though you can see records from far and wide.
👔 A Real-World Example
Let’s say you’re a district manager. You log in and search for "customer complaints about service." Your Data Access lets you see every complaint from all the stores in your company. Cool, right? But when it comes to listening, your Audio Access might limit you to just the stores in your district. So, if you find a complaint from another district, you might see it in the results, but you won’t be able to listen to that interaction unless your Audio Access includes that location.
